Receipt Maker

A receipt maker turns a payment you received into a clean receipt of payment you can print or save as a PDF. Enter who paid, what for, how they paid and how much: the total is the sum of quantity × price, minus any discount, plus tax on what is left, and the balance due is that total minus everything paid so far. It runs in your browser with no sign-up, and nothing you type is sent or stored.

At a glance

  • What it is: a free receipt generator for any small business. Fill it in, then print, save a PDF or copy it as text.
  • What it handles: cash, check, card and bank payments, tax, discounts, deposits and partial payments, with the balance worked out for you.
  • What it does not do: it does not email the receipt, take the payment or keep a record. BrickByClick Free does the invoicing and card payments.

Make a payment receipt now

Fill in the left side. The receipt on the right updates as you type. The example lines are there to show the layout; change or remove them.

What the payment was for

The payment

Runs in your browser. Nothing you type is sent or saved. In the print window, choose “Save as PDF”.

Press Print or save as PDF, then choose Save as PDF in the print window. Give one copy to the customer and keep one for your records.

What to put on a receipt of payment

  • Your business name and contact details. So the customer knows who they paid.
  • Who paid. The customer's name, and the job address if you work at their place.
  • A receipt number and the payment date. A running number makes every receipt easy to find later.
  • What the payment was for. The lines of work or the invoice number it pays.
  • The amount and how it was paid. Cash, check (with the check number), card (last four digits only, never the full number) or bank transfer (with the reference).
  • Tax, if you charged it. As its own line. Rules differ by place, so check with your accountant or tax office.
  • The balance. Either “Paid in full” or what is still owed.

The US tax agency lists receipt books, invoices and deposit information among the documents that support a business's gross receipts (IRS: What kind of records should I keep). A numbered receipt for every payment makes that easy.

How the receipt totals work, with an example

  • Line amount = quantity × price each
  • Subtotal = sum of the line amounts
  • Tax = (subtotal − discount) × tax rate ÷ 100, so tax is charged on the discounted price
  • Total = subtotal − discount + tax
  • Balance due = total − paid before − amount paid now

Every amount is rounded to the cent. A discount can never take the total below zero, and the tool warns you if the payments add up to more than the total.

Worked example: a deposit, then the final payment

A job has 2 hours of labour at $95 and $60 of materials. Tax is 8%. The customer paid a $100 deposit last week and pays the rest today by check.

  • Labour: 2 × $95 = $190.00. Materials: 1 × $60 = $60.00. Subtotal $250.00.
  • Tax: $250.00 × 8 ÷ 100 = $20.00. Total $270.00.
  • Paid before: $100.00. Paid now: $170.00. Balance: $270.00 − $100.00 − $170.00 = $0.00, paid in full.

Type those numbers into the receipt maker to check it. If the customer had paid only $120 today, the receipt would show a balance due of $50.00.

Receipt vs invoice: what is the difference?

An invoice asks to be paid: it lists the work, the total and a due date. A receipt proves you were paid: it lists the amount received, the date and how it was paid. The order is estimate, then invoice, then receipt.

Need the bill first? Use the free invoice generator. If you send invoices often, BrickByClick Free emails them with a pay link and takes card and bank payments through your own Stripe account for $0 a month (Stripe's processing + 0.5% per card payment, max $25; none on bank payments).

Receipt templates for cash, check, card and deposits

Cash receipt

Choose Cash. For a cash payment the receipt is the only proof either side has, so always give one and keep a copy.

Check payment receipt

Choose Check and put the check number in the reference. If the check later bounces, the number ties it to the receipt.

Card payment receipt

Choose Credit or debit card. Put only the last four digits in the reference, never the full card number.

Deposit or partial payment receipt

Enter the full job, any earlier payments in Paid before, and today's amount in Amount paid now. The receipt shows the balance still due.

Works the same for cleaners, landscapers, plumbers, salons, tutors, movers or any other service business. For trade examples, see the plumbing and cleaning invoice templates.

How to use this receipt generator

  1. Add your business. Enter your business name and a phone, email or address.
  2. Add the customer. Enter who paid you and, if useful, the job address.
  3. Number and date it. Set a receipt number, the payment date and, if it pays an invoice, the invoice number as the reference.
  4. List what it was for. Add each line with a quantity and price, then any tax rate or discount.
  5. Enter the payment. Pick how they paid, enter any check or reference number, the amount paid before and the amount paid now.
  6. Print or save. Press Print or save as PDF and choose Save as PDF, or copy the receipt as text.

What this receipt maker does not do

  • It does not save anything. Close the page and the receipt is gone, so save the PDF first.
  • It does not send the receipt. Attach the PDF or paste the copied text yourself.
  • It does not take the payment or check that it went through.
  • It does not keep a list of customers, invoices or who still owes you.

If you write receipts every week, software saves the retyping. In BrickByClick Free you send the invoice, the customer pays by card or bank from the pay link, and you record cash and checks on the Get paid screen. Starter, $99 a month, adds estimates, jobs, scheduling, automatic payment reminders and job costing.

Questions people ask

What should a payment receipt include?
Your business name and contact details, the customer's name, a receipt number, the payment date, what the payment was for, the amount paid, how it was paid (cash, check, card or bank transfer, with a check or reference number), any tax, and the balance still owed, if any.
What is the difference between a receipt and an invoice?
An invoice asks for money: it says what is owed and when it is due. A receipt confirms money you have already received. You send the invoice before payment and the receipt after it.
How do I make a receipt for a cash payment?
Pick Cash as the payment method, enter the amount you were handed and the date, and print two copies or save a PDF: one for the customer and one for your records. A receipt is the customer's only proof of a cash payment.
Can I make a receipt for a partial payment or a deposit?
Yes. Enter the full job in the line items, any earlier payments in Paid before, and today's payment in Amount paid now. The receipt shows the payment and the balance still due, and says Paid in full once the balance reaches zero.
How do I number my receipts?
Use a running number such as R-1001, R-1002 and never reuse one. Many businesses add the invoice number in the reference so a receipt can be matched to the invoice it pays.
Is a receipt legally required?
It depends on where you work and who the customer is. Some places require one for certain sales or when a customer asks. Even when it is not required, keeping records of what you received is part of normal bookkeeping. Ask your accountant or tax office about your rules.
Does a handwritten or self-made receipt count?
A receipt you make yourself is a normal business record as long as it is accurate and shows who paid, how much, when and for what. Keep a copy of every one you give out.
Should I show sales tax on a receipt?
If you charged tax, show it as its own line so the customer and your accountant can see it. Enter the rate that applies to you; this tool shows the tax amount separately from the subtotal.
How do I save the receipt as a PDF?
Press Print or save as PDF, then choose Save as PDF as the destination in the print window. On a phone, use the share or print option and pick Save to Files or PDF.
Can I send the receipt to the customer from here?
Not directly. Save the PDF and attach it to an email or text, or press Copy as text to paste the details into a message. Invoicing software can email a receipt automatically when a customer pays.
Is my information saved or sent anywhere?
No. The receipt maker runs in your browser and makes no network requests. Close the page and everything is gone, so save the PDF first.
